Welcome to the website of the King’s Health Partners Clinical Trials Office (“KHP‑CTO”, “we”, “our”, “us”). By accessing or using khpcto.co.uk (the “Site”) you agree to be bound by these Terms & Conditions (the “Terms”). If you do not agree with these Terms, do not use the Site.
Terms & Conditions
1. Who we are
KHP‑CTO is a collaboration between King’s College London (King’s), Guy’s and St Thomas’ NHS Foundation Trust (GSTT), King’s College Hospital NHS Foundation Trust (KCH) and South London and Maudsley NHS Foundation Trust (SLAM). GSTT, KCH and SLAM are collectively referred to as Partner Organisations.
KHP‑CTO provides information about clinical trials support services offered across the Partner Organisations, together with training and guidance materials. The Site is an informational resource and is not intended for use by patients seeking medical advice or to report medical emergencies.

2. Changes to these Terms
We may update these Terms from time to time by posting a revised version on the Site. Changes take effect on publication. Your continued use of the Site following any change constitutes acceptance of the updated Terms.
3. Access to the Site
We do not guarantee that the Site, or any content on it, will always be available or be uninterrupted. We may suspend, withdraw, or restrict availability of all or any part of the Site for operational or compliance reasons. We may update and change the Site from time to time to reflect changes to our services, users’ needs and organisational priorities.
4. Permitted use
You may use the Site only for lawful purposes. You agree not to:
- copy, reproduce, distribute, or exploit any part of the Site other than as permitted by law and by the licence in section 7;
- access without authority, interfere with, damage or disrupt any part of the Site or any equipment or network on which the Site is stored;
- upload or transmit any material that is malicious or technologically harmful (including viruses, trojans, worms, logic bombs or other harmful programs or similar computer code);
- use the Site in any way that breaches applicable law or regulation, or that is fraudulent or has any unlawful or harmful purpose or effect.
5. Accounts and credentials
Some areas of the Site may require a login issued by one of the Partner Organisations. You are responsible for keeping your credentials secure and for all activities carried out using them. You must notify the relevant issuing organisation immediately if you suspect any unauthorised use of your credentials.
6. Information on the Site (no advice)
Content on the Site is provided for general information only. It is not intended to amount to advice on which you should rely. Before taking, or refraining from, any action on the basis of the content on our Site, you should obtain appropriate professional or organisational guidance (for example, from your R&D office, sponsor, or legal adviser). While we make reasonable efforts to update the information, we make no representations, warranties or guarantees that the content on the Site is accurate, complete or up‑to‑date.
Nothing on the Site constitutes medical advice, and the Site must not be used for diagnosis or treatment. If you are a member of the public seeking medical help, please contact your GP, NHS 111, or emergency services.
7. Intellectual property and licence to use the Site
Unless otherwise stated, the Site and its content are protected by copyright, database rights, and other intellectual property rights owned by the KCL and/or the Partner Organisations or licensors. You may download and print content for your own internal, non‑commercial use and for legitimate clinical research governance purposes within the Partner Organisations, provided you:
- do not modify the materials;
- do not remove any copyright, credit, or attribution notices; and
- acknowledge KCL and the relevant Partner Organisation(s) as the source.
Any other use (including commercial use, republication on another website, or creation of derivative works) requires prior written permission from the relevant rightsholder.
Where the Site provides templates, SOPs, or guidance documents, these are supplied on an “as‑is” basis for use within the Partner Organisations or as expressly permitted on the face of the document. External reuse may be restricted or require separate permission.
8. User‑contributed content
If you upload, post, or otherwise transmit content to the Site (including forms, comments, or submissions), you grant KCL and the Partner Organisations a non‑exclusive, royalty‑free licence to use, host, store, reproduce, adapt, and communicate that content for the purposes of operating and improving the Site and delivering the relevant services. You promise that your content:
- is your own or that you have all necessary rights and permissions;
- does not infringe any third‑party rights (including copyright, confidentiality and privacy);
- complies with applicable law and these Terms.
We may remove user‑contributed content that, in our reasonable opinion, breaches these Terms or the law.
9. Third‑party links and resources
Where the Site contains links to other websites and resources provided by third parties, these links are provided for your information only. Such links should not be interpreted as approval by us of those linked websites or information you may obtain from them. We have no control over the contents of those sites or resources.
10. Analytics and cookies
Our Site uses cookies and similar technologies to improve user experience and analyse website traffic. In particular, we use Google Analytics, a web analytics service provided by Google LLC (“Google”). Google Analytics uses cookies to collect information such as your IP address, browser type, pages visited, and time spent on each page. This information helps us understand how visitors use the Site so that we can improve its design and content.
Google processes this information on our behalf to generate statistical reports. The data collected through Google Analytics is anonymised before analysis wherever possible and is not used to identify individual users. You can control or delete cookies through your browser settings and opt out of Google Analytics tracking by installing the Google Analytics Opt‑out Browser Add‑on (https://tools.google.com/dlpage/gaoptout).
11. Training bookings and events (if applicable)
Where the Site offers registration for training or events:
- We may set out specific booking and cancellation terms on the relevant page; those terms will take precedence over this section in the event of any conflict.
- We reserve the right to reschedule or cancel training sessions or events. If we cancel, we will offer an alternative date or a refund where a fee was charged.
- You are responsible for ensuring that the training you book is appropriate for your role (e.g., CTIMP vs non‑CTIMP).
12. Uploads, forms and downloads
You are responsible for ensuring that any information you submit via the Site (for example, through forms) is accurate and complete. Where downloadable forms or templates are provided, always ensure you are using the latest version and follow any version control instructions.
13. Data protection
We will handle personal data in accordance with our Privacy Notice and applicable data protection law (including UK GDPR and the Data Protection Act 2018). Where KCL processes personal data on behalf of a Partner Organisation, that processing will be subject to the relevant controller’s privacy information and governance.
14. Security
We do not guarantee that the Site will be secure or free from bugs or viruses. You are responsible for configuring your information technology, computer programmes and platform to access the Site and should use your own virus protection software. You must not misuse the Site by knowingly introducing viruses, trojans, worms, logic bombs or other material that is malicious or technologically harmful.
15. Our responsibility for loss or damage suffered by you
Nothing in these Terms excludes or limits any liability that cannot be excluded or limited under law (including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation).
To the extent permitted by law:
- we exclude all implied conditions, warranties, representations or other terms that may apply to the Site or any content on it;
- we will not be liable to you for any loss or damage, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, even if foreseeable, arising under or in connection with: (a) use of, or inability to use, the Site; or (b) use of or reliance on any content displayed on the Site;
- in particular, we will not be liable for: loss of profits, sales, business or revenue; business interruption; loss of anticipated savings; loss of business opportunity, goodwill or reputation; or any indirect or consequential loss or damage.
16. Indemnity
You agree to indemnify KCL and the Partner Organisations against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with your breach of these Terms or your misuse of the Site.
17. Suspension and termination
We may suspend or terminate your access to the Site (or any part of it) if you breach these Terms or if we reasonably suspect misuse. Where appropriate, we will provide you with notice of suspension or termination.
18. Applicable law and jurisdiction
These Terms, their subject matter and formation are governed by the laws of England and Wales. You and we both agree that the courts of England and Wales will have exclusive jurisdiction, except that if you are domiciled in Scotland or Northern Ireland you may also bring proceedings in your local courts.
19. General
- If a court finds part of these Terms unlawful, the rest will continue in force.
- Any delay in enforcing these Terms does not waive our rights.
- These Terms constitute the entire agreement between you and us relating to your use of the Site.
